How does Sonio Fax work?

How it works

Sonio faxes the report automatically when you sign it. There is no manual "send fax" button.

When the report is signed, Sonio generates the final PDF and faxes it to the referring provider attached to the exam. The fax uses the fax number on that provider's record we have stored in Sonio.

If you amend a signed report and sign again, Sonio re-faxes the updated report.

The fax integration is configured by Sonio for your site. The fax service and credentials are managed by Sonio, not by you. Your part is to select a referring provider with a valid fax number and sign the report. If the referring provider you’re looking for isn’t there, you are able to add it on the “Requested by” → “External Providers” section on the exam page.

Before you start

  • Your part is to attach a Referring provider with a valid Fax number to the exam before you sign.
  • In-app editing of provider records may be limited. If you cannot add or edit a provider, please escalated to your practice admin who will reach out to Sonio if required.

Step-by-step: Set the referring provider and send the fax

  1. Open the Clinical personnel panel. It opens when you submit or sign. You can also reach it from the report's Request By field, or from Prepare exam.
  2. Under External providers, select existing or add a Referring provider.
  3. Enter the Fax number. The fax number is required and must be a valid format (US: starts with 1, 11 digits total). An invalid fax number cannot be saved on the provider record.
  4. Sign the report.
  5. The fax sends automatically. There is no separate send step.
  6. Check the fax status in the report sidebar. On success, it shows "Report faxed to Dr. [name]".

💡Tip: set the provider before you sign

The fax sends when you sign, so attach the referring provider and fax number before you sign. You cannot add a provider to a signed, frozen exam without reopening it.

⚠️ No provider or no fax number means no fax

If no referring provider is attached, or the referring provider has no fax number, nothing is faxed and no error is shown. Attach a provider with a valid fax number. If a fax fails, use the Retry button in the sidebar.

Common questions / troubleshooting

Did my fax send? How do I confirm?

After you sign, the fax status appears in the report sidebar. It shows "Faxing the report to Dr. [name]", then "Report faxed to Dr. [name]" on success. No fax status appears until the report is signed.

The fax failed. What do I do?

On failure, the sidebar shows "Error while faxing to Dr. [name]" with a Retry button. Use Retry to send it again.

Nothing was faxed. Why?

Sonio faxes only when a referring provider with a valid fax number is attached and the report is signed. If no provider is attached, or the provider has no fax number, nothing is faxed and no error is shown. Attach a provider with a valid fax number, then sign. The report must be signed first; nothing is faxed before signing.

Can I fax to more than one referring provider?

Yes, the fax goes to the referring provider(s) attached to the exam! You may add multiple to any given exam.
